How to Create an Email Template and Trigger It Using a Journey?
What Is the Purpose of Email Templates and Journeys?
Email Templates allow you to design reusable email content, while Journeys automate when and to whom those emails are sent.
Using both together, you can:
- Send automated emails to leads
- Personalize content using lead fields
- Trigger emails based on lead creation, update, or conversion
- Run marketing or onboarding communication without manual effort
Creating an Email Template Using Content Manager
Email templates are created in the Content Manager.
To Create a New Email Template, Follow These Steps:
- Click the Menu and navigate to Content Manager.
- Click Create Template.
- Enter the Template Name.
- Select Template Type as Email.
- Choose the Access Type:
- Public to make the template visible to all users
- Private to restrict it to yourself
- Shared to share it with selected users or teams
- Public to make the template visible to all users
- If Shared is selected, choose the required users or teams.
- Click Next.
To Add Email Content and Personalization, Follow These Steps:
- Add the email content in the Editor.
- If you have HTML source code, click Source and paste the code.
- Use alignment and formatting tools as required.
- Select the Model as Lead Box.
- Add dynamic fields to the subject or body:
- Place the cursor where required
- Select lead fields such as First Name
- Place the cursor where required
- Ensure the subject includes required personalization if needed.
- Add the Unsubscribe Tag at the end of the email:
- Click More Tags
- Select Unsubscribe
- Click More Tags
- Click Save.
The email template is now created and ready for use in journeys.
Creating a Journey Using the Email Template
Journeys are created from the Journey section.
To Create a New Journey, Follow These Steps:
- Click the Menu and navigate to Journey.
- Click New Journey.
- Enter the Journey Name.
- Select the Start Date.
- Select the End Date.
- Click Next.
To Select the Application and Trigger Event, Follow These Steps:
- Select Leads as the application.
- Choose the trigger event:
- Lead Creation
- Lead Update
- Lead Conversion
- Lead Creation
- Select Lead Creation if the email should trigger when a new lead is created.
- Click Next.
To Define the Journey Condition, Follow These Steps:
- Select the condition field, such as Lead Source.
- Choose the operator, such as Equals.
- Select the condition value, for example Facebook.
- Click Next.
This ensures the journey triggers only when leads meet the defined condition.
To Configure the Email Engagement, Follow These Steps:
- Select When the engagement should trigger, such as Immediately.
- Select Engagement Type as Email.
- Select Engagement Audience as External (leads).
- Choose the Email Route, such as AWS Transactional.
- Select the Email Template created earlier.
- The subject will auto-populate from the template.
- The subject will auto-populate from the template.
- Enter the From Name.
- Special characters are not allowed.

- Enter the From Email ID.
- Enter the Reply-To Email ID.
- Click Save.
The first engagement is now configured.
Can Multiple Engagements Be Added to One Journey?
Yes. You can add multiple engagements within a single journey.
- Click Add to create additional engagements
- Up to 10 engagements can be configured in one journey
Each engagement can have its own channel, timing, and audience.
To Activate the Journey, Follow These Steps:
- Review all journey configurations.
- Click Go.
- Confirm the action when prompted.
The journey is now active.
What Happens After the Journey Is Activated?
Once activated:
- Whenever a lead is created with the defined condition, such as Lead Source = Facebook
- The configured email is sent automatically
- The journey runs continuously within the defined date range
