How to Use the Lead Box and Manage Leads?
What Is the Lead Box?
The Lead Box is where you:
- View leads assigned to you
- Update lead stages
- Make calls, send messages, or WhatsApp
- Create tasks and meetings
- Add notes
- Track lead activities
- Monitor call logs
Part 1: Accessing the Lead Box
Step 1: View Homepage Overview
After logging into the CRM:
- You will land on the Homepage.
- Here you can view:
- Pending tasks
- Upcoming tasks
- Task reminders
Step 2: Open Lead Box
- Click the three-line (Menu) icon on the left.
- Select Lead Box.
The Lead Box page will display all leads assigned to you.
Part 2: Viewing and Updating Lead Information
To View Lead Details:
- Click on the First Name of the lead.
- The Lead Info page will open.
- You can view:
- Name
- Mobile Number
- Email ID
- Location
- Lead Stage
- Lead Owner
To Update Lead Stage:
- Select the required Lead Stage.
- Example: Contacted, Qualified, Not Contacted.
- Click Update.
The stage will be updated successfully.
To Edit Other Lead Details:
- Modify required fields such as:
- District
- Location
- Click Update.
Part 3: Making Calls and Sending Messages
Available Communication Options:
- Call
- SMS
To Make a Call:
- Click the Call Now icon.
- A pop-up window will appear.
- Click Click to Call.
- The call connects to you first.
- Once you answer, the call connects to the customer.
Part 4: Reassigning a Lead to Another Executive
If a lead becomes Qualified and needs to be assigned to another executive:
- Change the Lead Owner.
- Select the executive’s name.
- In Assigned By, select your name.
- Click Update.
The lead will now be transferred to the selected executive.
Part 5: Viewing Activity History
To View Lead Activity:
- Open the lead.
- Navigate to the Activity Section.
You can see:
- When the lead was assigned
- Calls made
- Tasks created
- Status updates
- Notes added
All actions are tracked chronologically.
Part 6: Creating Tasks from a Lead
Example Scenario:
The customer says, “Call me tomorrow at 11 AM.”
To Create a Task:
- Open the lead.
- Click Task.
- Select:
- Task Type: Call, SMS, Email, or Meeting
- Choose the Date.
- Choose the Time.
- Add a description.
- Example: Follow-up call tomorrow.
- Click Save.
The task will now be created.
Where Is the Task Visible?
The task will appear in:
- The Task Page
- The Homepage dashboard
Part 7: Creating Notes
To Add Notes:
- Open the lead.
- Go to the Notes Section.
- Enter your note.
- Save.
Part 8: Scheduling Meetings
To Schedule a Meeting:
- Open the lead.
- Select Meeting.
- Enter:
- Meeting Title
- Date
- Time
- Attendees Email ID
- Description
For Physical Meeting:
- Select Location
- Enter meeting location details
For Online Meeting:
- Select Media Conference
- Paste the meeting link (Google Meet, Zoom, etc.)
Click Save.
Part 9: Managing Tasks from Task Section
To View All Tasks:
- Click the three-line Menu.
- Select Task.
All created tasks will be displayed.
To Mark a Task as Completed:
- Click the completion icon.
- Confirm the action.
- The task status will change to Completed.
To Create a Task from Task Section:
- Click Create Task.
- Select Task Type.
- Enter date and time.
- Add description.
- Click Save.
Part 10: Viewing Call Logs
To View Call Logs:
- Click the three-line Menu.
- Select Call Logs.
You can view:
- Calls made by you
- Call status (Answered/Unanswered)
- Date and time
To Use Quick Call:
- Click Quick Call.
- Enter the mobile number.
- Click Call.
To Filter Calls by Mobile Number:
- Click Filter.
- Select Mobile Number.
- Enter the number.
- Click Search.
You will see how many times that number was called.
To Listen to Call Recordings:
- Click the Play (Blue) icon in call logs.
- The recording will play if the call was answered.
